Conference COVID Protocol

The Society for Epidemiologic Research aims to provide a safe environment for our first in-person annual meeting since the SARS-CoV-2 pandemic. Although conditions might change, at this point we expect low levels of community transmission and therefore a minimal risk for vaccinated attendees. Nonetheless, we have the following requests of all attendees as a means to reduce concerns about the risk of infection from the resumption of in-person activities.

  • All attendees, regardless of vaccination status, are asked to obtain and demonstrate a negative SARS-CoV-2 test prior to arriving at the conference site.

    SER has partnered with eMed to provide free at-home test kits to test for SARS-CoV-2 infection in advance of the conference as well as providing free tests to each attendee throughout the conference dates.

    eMed is a digital CLIA certified laboratory that proctors at-home tests, on-demand 24/7 and provides an encrypted digital CLIA laboratory report to the user, via email, in minutes after use (and as a CLIA laboratory automatically provides public health reporting of results).

    eMed will ship you one test to take prior to traveling to the conference. Testing via eMed should be done in the 24 hours prior to when you arrive for conference registration. A negative eMed lab report or a comparable official report will be required at check in for the conference. The eMed test includes an official Lab Report which should be provided as proof at check in (printed or readable on a mobile device).

    Registered attendees will receive an email with instructions to provide their shipping address before June 1, 2022 in order to receive the test in time for the conference.

  • At the time of check in at the SER conference, you will receive tests for each day you are attending the conference. We ask that participants test each day before attending conference activities. Individuals who test positive may not participate in the conference and should take the necessary steps to isolate, following public health guidance at that time.

  • Based on the current status of the pandemic, we strongly recommend wearing a mask in public areas of the conference.
  • In the absence of any national, state, or local directives, individuals may decide to wear or not wear a mask based on their personal judgment and should allow other attendees to choose for themselves, without prejudice.

This protocol is based on the current public health status in Chicago. SER reserves the right to adjust the protocol, as needed, to reflect changes in community transmission or directives from national, state, or local public health authorities.

Please note that we may be updating the protocol in the event of rising rates of COVID-19, with a final policy to be posted by June 1, 2022.

Sheraton Grand Chicago closely monitors the Centers for Disease Control and Prevention and World Health Organization’s statements regarding the novel coronavirus (COVID-10) cases and following guidelines from these agencies and the local health departments. Sheraton Grand Chicago is committed to providing you with a safe environment that aligns with expert protocols for working to defeat COVID-19. Consisting of in-house and outside experts in food and water safety, hygiene and infection prevention, and hotel operations.  The Marriott Cleanliness Council is redefining their cleaning and safety standards. Assistance for Hotel Guests with Special Needs/ADA

The Sheraton Grand Chicago meets or exceeds all requirements for the Americans with Disabilities Act.  Hotel facilities including, but not limited to, accessible parking, public entrance, registration desk, meeting space, restrooms, dining areas, common areas, swimming pool and sufficient guest rooms are reasonably accessible and usable by persons with special needs.  Braille and tactile signage provided for permanent rooms and spaces.  Service animals are welcome.

Individuals interested in using childcare services are responsible for coordinating and paying the agency directly. Arrangements shall not be made through SER but rather directly through the interested parties.  You should give the company a two-week notice before the service is needed.

Lobby and public areas: Complimentary Wireless.

SER is providing complimentary Internet access in the meeting rooms.  The password will be available at the Registration Desk.  As a Wi-Fi hotspot, complimentary internet access is available throughout the lobby.

The Sheraton Grand Chicago is approximately 12 miles from the Chicago Midway International Airport (MDW) and 18 miles from Chicago O’Hare International Airport (ORD). 

The hotel does not provide shuttle service.

Alumni Reunions

Thursday evening has been set aside for receptions for faculty, alumni, and students from various universities.  Check the message board for announcements from your university.

Annual SER Member Business Meeting

The Annual Business Meeting is being held on Thursday, June 16, 2022 from 5:30-6:00 pm in Michigan A.  Everyone is welcome.

Assistance for Participants

The staff of the Society for Epidemiologic Research is available to provide assistance or information at any time during the meeting.  Questions should be directed to staff members who can be found at the registration desk located in the Chicago Promenade East Registration Area.


Please wear your SER identification badge to all meetings and functions.  This is the most convenient way to identify one another and aids in the ease for conference organizers to assist you.

Information for Oral Presenters

Please be in the meeting room 15-20 minutes before your presentation.  Each meeting room will be equipped with a screen, an LCD projector and a microphone.  A room monitor will be available in the room if you require assistance.

Message Board

A message board will be located in the Chicago Promenade.  You may use the message board to communicate with other meeting attendees.
