Conference COVID Protocol – Updated June 1, 2022
The Society for Epidemiologic Research aims to provide a safe environment for our first in-person annual meeting since the SARS-CoV-2 pandemic. We have the following requests of all attendees as a means to reduce concerns about the risk of infection from the resumption of in-person activities.
- Regardless of vaccination status, all attendees are asked to obtain and demonstrate a negative SARS-CoV-2 test before arriving at the conference site.
SER has partnered with eMed to provide free at-home test kits to test for SARS-CoV-2 infection before the conference and provide free tests to each attendee throughout the conference dates.
eMed is a digital CLIA-certified laboratory that proctors at-home tests, on-demand 24/7, and provides an encrypted digital CLIA laboratory report to the user via email minutes after use (and as a CLIA laboratory automatically provides public health reporting of results).
eMed will ship you one test to take prior to traveling to the conference. Testing via eMed should be done in the 24 hours prior to when you arrive for conference registration. A negative eMed lab report or a comparable official report will be required at check-in for the conference. The eMed test includes an official Lab Report which should be provided as proof at check-in (printed or readable on a mobile device).
Registered attendees will receive an email with instructions to provide their shipping address before June 1, 2022, to receive the test in time for the conference.
If you did not sign up for a mailed test from eMed before the June 1, 2022 deadline, please come to the SER conference registration/covid-inquiries desk to pick up a test onsite when you arrive at the hotel.
- At the time of check-in at the SER conference, you will receive tests for each day you attend the conference. We ask that participants test each day before attending conference activities. Individuals who test positive may not participate in the conference and should take the necessary steps to isolate, following public health guidanceat that time.
- Based on the current status of the pandemic, we require masks in the session rooms (including the poster session room and all other presentation rooms) of the conference. We also strongly recommend wearing a mask in other indoor public areas of the hotel.
- We strongly recommend N95, KN95, or KF94 quality masks (no cloth masks please). We request that attendees bring their own masks.
- You may unmask briefly to eat or drink in the session rooms of the conference.
- For podium presentations (e.g., plenary, symposium, oral abstract session) speakers may unmask when giving their presentations. Poster presenters should remain masked, given the density and activity during the poster sessions.
This protocol is based on the current public health status in Chicago as of June 1, 2022. SER reserves the right to adjust the protocol as needed, to reflect changes in community transmission or directives from national, state, or local public health authorities.

Sheraton Grand Chicago closely monitors the Centers for Disease Control and Prevention and World Health Organization’s statements regarding the novel coronavirus (COVID-10) cases and following guidelines from these agencies and the local health departments. The Sheraton Grand Chicago meets or exceeds all requirements for the Americans with Disabilities Act. Hotel facilities including, but not limited to, accessible parking, public entrance, registration desk, meeting space, restrooms, dining areas, common areas, swimming pool and sufficient guest rooms are reasonably accessible and usable by persons with special needs. Braille and tactile signage provided for permanent rooms and spaces. Service animals are welcome.

Individuals interested in using childcare services are responsible for coordinating and paying the agency directly. Arrangements shall not be made through SER but rather directly through the interested parties. You should give the company a two-week notice before the service is needed.

Annual SER Member Business Meeting
The Annual Business Meeting is being held on Thursday, June 16, 2022 from 5:30-6:00 pm in Michigan A. Everyone is welcome.
Assistance for Participants
The staff of the Society for Epidemiologic Research is available to provide assistance or information at any time during the meeting. Questions should be directed to staff members who can be found at the registration desk located in the Chicago Promenade East Registration Area.
Please wear your SER identification badge to all meetings and functions. This is the most convenient way to identify one another and aids in the ease for conference organizers to assist you.
Information for Oral Presenters
Please be in the meeting room 15-20 minutes before your presentation. Each meeting room will be equipped with a screen, an LCD projector and a microphone. A room monitor will be available in the room if you require assistance.
A message board will be located in the Chicago Promenade. You may use the message board to communicate with other meeting attendees.
